TRADERS’ AGREEMENT TERMS & CONDITIONS

GENERAL TERMS & CONDITIONS

Dover Pride gives priority to queer run businesses and those whose products are a minimum of 80% handmade.

The Trader is responsible for the setting up and removal of their own structures, for the general cleanliness of their area, and for any losses, damage, or injury arising or resulting from its use.

Traders must ensure that all equipment is fit for use and PAT tested where necessary.

Products and display units must be weighted and secured appropriately.

Dover Pride is not and will not be held responsible for any product losses that may occur due to issues out of our control (e.g. the weather) and poor display.

Dover Pride is not responsible for any financial losses due to bad weather, turn out, promotion or any other reason which may not be listed.

Traders are required to remain in situ for the entirety of the event unless granted explicit permission by the Market Manager. Departure prior to the event's conclusion will result in forfeiture of any refund and potential refusal of trading privileges with our organisation at future events.

Traders are responsible for sourcing and payment of parking their own vehicles off site. Dover Pride is not responsible for covering any costs of parking and/or any incurred parking fines.

All traders are responsible for removing their own waste and any excess stock at the end of the event, and are encouraged to recycle where possible. Any waste, stock, or materials left behind will result in a cleaning fee of £500, charged to the responsible trader to cover the cost of restoring the pitch.

Dover Pride is not responsible for removing any trader’s excess or leftover stock. Any waste, stock, materials left behind, or damage caused as a result will incur a £500 cleaning fee, charged to the responsible trader in accordance with our cleaning policy. This fee covers the cost of restoring the pitch to its original condition.

No dogs are allowed on site except assistance dogs. Any trader with non-assistance dogs on site will be asked to leave the event and will not receive a refund.

Smoking is not permitted on site by law on any stall or within the immediate vicinity.

Under no circumstances are Traders allowed to sublet stalls.

Traders must be set up within the time allocated to them (information will be available on the official website www.doverpride.com once confirmed). Any traders who arrive after this time may be turned away and will not be refunded.

Unless otherwise discussed with and permitted by Dover Pride, no stall is permitted to sell or consume alcohol. It is illegal to drink alcohol outside of Maison Dieu and the Queer Village site, and in doing so you are at your own risk of incurring a fine and your stall will be closed down immediately with no refund.

All refunds, partial or in full are given at the discretion of Dover Pride.

Non-attendance, and/or failing to notify Dover Pride or the Market Manager of a non-attendance within 7 days of the event will result in forfeiture of trading at any future events with us and you will not be refunded.

Dover Pride reserve the right to refuse any application without stating a reason. This decision is final.

Allocation of pitches shall be at the sole discretion of Dover Pride along with the Site and Market Managers. Every effort will be made to allocate fair trading sites. No changes of position will be permitted unless otherwise authorised by Dover Pride and/or the Site Manager.

Dover Pride accepts no liability for any loss, damage or injury incurred in connection with the event.

Dover Pride has a zero-tolerance policy towards violence, anger and harassment towards any member of staff, volunteer, hired crew members, event attendees and members of the public. Any issues raised will result in you being made to pack down immediately and removed from the event. You will not be refunded, and you will not be able to trade at future events.

In applying to trade with us, you indemnify Dover Pride against any such claims.

Failure to adhere to Dover Pride’s Terms and Conditions could mean removal from site at any time, with no refund and loss of privilege to trade with us in the future.

CERTIFICATION AND SAFETY

All stall holders must provide evidence of valid, current Public & Personal Liability Insurance (no less than £5,000,000 for any one incident) or they will be denied access to the event. A current copy must be uploaded when applying to trade. If your PLI certificate is due to expire before the event, we will require an up-to-date version upon renewal.

Where necessary, all hot food and grocery stalls must have up to date Food Hygiene/Environmental Health Certificates displayed on the stall.

Traders must provide allergen information in writing if you sell or provide food to customers directly. This information, or how to obtain this information, must be signposted clearly to customers.

All stalls using LPG gas must bring with them an up-to-date Gas Safety Certificate for the system they are using. No stall using LPG will be permitted to attend without Gas Safety Certification.

Any risk assessments submitted by an external applicant, trader or vendor must be approved by Dover Pride. You will be informed of any accepted assessments, required changes, or additional information provided by Dover Pride to ensure the safety of the site and event, and to help reduce risks.

Commercial purveyors of food and drink must provide up to date evidence of certification under the Food Safety Act 1990 – Food Hygiene Rating Certificate. A current copy must be sent when booking your attendance.

Some unregistered stalls may be accepted without a Food Hygiene Rating Certificate under certain circumstances and at the discretion of Dover Pride (Community groups and Charities). Please contact Dover Pride (doverpridemarket@gmail.com) for further information.

All bars must receive their own TENS licence for the event. Failure to apply for a licence in time means you will not be able to serve, sell or distribute alcohol under any circumstances, and you will not be refunded for any business, administration, profit or trading losses.

STONE HALL TRADERS

Pitch sizes in the Stone Hall are 6ft x 2ft (one table space). Anything over this size may result in extra charges.

Payment of pitch fees secure your trading space only, traders are responsible for bringing tables, chairs and any other equipment needed.

Traders are not permitted to operate, work, pitch or place equipment positioned at a height exceeding 2 metres.

Any risk assessments submitted by an external applicant, trader or vendor must be approved by Dover Pride. You will be informed of any accepted assessments, required changes, or additional information provided by Dover Pride to ensure the safety of the site and event, and to help reduce risks.

QUEER VILLAGE TRADERS

Pitch sizes in the Queer Village are 3m x 3m. Anything over this size may result in extra charges.

Payment of pitch fees secure your trading space only, traders are responsible for bringing gazebos, tables, chairs and any other equipment needed.

Pitch sizes are inclusive of any weights and guy ropes you may need to use.

Gazebos must be erected, secured and be weighted appropriately. Failure to do so will mean you will be asked to pack down and leave the site and you will not be refunded.

Due to limited access to all sites - Vehicles are not allowed on site after site opening unless otherwise arranged with the Dover Pride team beforehand.

Any vehicles that are permitted on site and all stalls/gazebos must remain in position for the duration of the event.

We cannot provide electricity to Traders. If you need power, you must have use of your own generator and provide any necessary risk assessments and certificates to Dover Pride.
Payment must be made in full by the date stated on your invoice. Confirmation of payment acts as a non-refundable deposit and secures your place to trade at Dover Pride, but failure to send a Risk Assessment and any relevant certification as listed above, by Monday 30th June 2025 means you will not be permitted to trade, and you will not receive a refund.
